How do you write a clear email in Spanish?

Choose the relationship first. Estimado señor García: suits a formal first contact; Hola, Ana: fits a known colleague or friendly contact. Use usted forms such as le, su and podría until the other person establishes a more familiar tone.

State the reason in the first short paragraph: Le escribo para…, En relación con… or Como comentamos,… Then give the request, document or date without hiding it behind a long introduction.

In standard Spanish correspondence, RAE recommends a colon after the greeting, followed by a new line and a capital letter. The closing itself normally ends with a comma: Saludos cordiales, followed by the sender’s name.

Four patterns that carry most emails

Le escribo para + infinitive states the purpose: Le escribo para confirmar la reserva.

¿Podría + infinitive? makes a polite request: ¿Podría enviarme la factura?

Adjunto + noun or Le envío… adjunto points to a file: Adjunto encontrará el formulario.
